Sign PDFs Online: A Practical Guide for Rentals, Job Offers and Freelance Contracts
I rented a flat last year. The agreement was emailed to me as a PDF. The agent then asked me to print it, sign every page, scan it back, and email it. Sixteen pages.
I politely refused, signed it digitally inside the PDF, and sent it back. He was confused for an hour, then admitted it actually saved everyone time.
Where digital signatures fit perfectly
Rental and lease agreements between two regular people. Freelance contracts and service agreements. Employment offers and acceptance letters. NDAs for small projects. Internal company forms. Permission letters for schools. Society NOC documents.
Basically: anywhere both parties trust each other and you're not dealing with a court submission, a digital signature is fine. It's legally recognised in most countries, including India under the IT Act, as long as both parties consent to using it.
Where you should still print and sign physically
Property registration documents that go to the sub-registrar's office. Court submissions in places where the court still demands wet signatures. Some bank loan documents. Wills.
When in doubt, ask the receiving party. If they say "a digital signature is fine," you've just saved a trip to the printer.
How I sign in practice
I have one decent signature image — a clean black-on-white scan of my real signature, saved as a PNG with transparent background. I use this same image on every PDF. I drag it onto the signature line, resize it to look natural (not too big, not floating in the air), and save.
For initials on every page, I keep a smaller version and place one on each page footer.
A few habits that keep digital signatures trustworthy
Never send your signature image as a separate file to anyone. It should only ever appear inside a finalised, locked PDF.
Once signed, save and share the PDF as a flattened version where the signature can't be lifted off and pasted onto another document.
Keep a personal log of which contracts you signed and when. A simple spreadsheet works fine.
Why doing this in your browser matters
A signature image is a sensitive piece of identification. Uploading it to an unknown signing website is the kind of casual mistake that comes back to bite people. Our sign-PDF tool keeps everything local — your signature, the contract, the final file. Nothing touches our servers. The only place that file exists is on your laptop and in the email you choose to send.
Try it on the next agreement that lands in your inbox. You'll never go back to print-sign-scan.
