Sign PDFs Online: A Practical Guide for Rentals, Job Offers and Freelance Contracts

I rented a flat last year. The agreement was emailed to me as a PDF. The agent then asked me to print it, sign every page, scan it back, and email it. Sixteen pages.

When in doubt, ask the receiving party. If they say "a digital signature is fine," you've just saved a trip to the printer.

How I sign in practice

I have one decent signature image — a clean black-on-white scan of my real signature, saved as a PNG with transparent background. I use this same image on every PDF. I drag it onto the signature line, resize it to look natural (not too big, not floating in the air), and save.

For initials on every page, I keep a smaller version and place one on each page footer.

A few habits that keep digital signatures trustworthy

Never send your signature image as a separate file to anyone. It should only ever appear inside a finalised, locked PDF.

Once signed, save and share the PDF as a flattened version where the signature can't be lifted off and pasted onto another document.

Keep a personal log of which contracts you signed and when. A simple spreadsheet works fine.
